The Foundations of MultiCare include MultiCare Health Foundation, The Mary Bridge Children’s Foundation, and The Good Samaritan Foundation. The Foundations have been established over many years to support the Tacoma, WA area by building community awareness and financial support for the world-class programs, advanced treatments, and innovative technology that MultiCare Health System offers. As a nonprofit organization, MultiCare counts on generous supporters who want to make a difference in the community.

Challenges

Foundations of MultiCare needed a more efficient way to manage data for its Grateful Patient Program while ensuring accurate donor outreach and reducing the significant staff time spent on manual processes.

Difficulty Matching New Patient Lists with Current Donors

Foundations of MultiCare needed a better way to match new donor acquisition lists from patient admissions with current donors in Raiser’s Edge so they could ensure they were using the right communication channels with supporters.

Time-Consuming Data Integration Processes

Too much staff time was being consumed by data integration in Raiser’s Edge for the Grateful Patient Program. With an average of 700 gifts per week, staff were often occupied with hand-keying data instead of focusing on donor communications and stewardship activities.

Increased Workload During Peak Giving Periods

During busy event seasons, gift volume increased significantly, requiring staff from across the organization to help with data entry and processing. This manual work consumed 32 or more hours per week that could have been spent more productively on fundraising efforts.

By partnering with Omatic, MultiCare streamlined its Grateful Patient Program processes, improved data management within Raiser’s Edge, and created a more efficient approach to donor identification and cultivation.

Omatic enabled MultiCare to keep all of its fundraising efforts integrated within Raiser’s Edge by matching new patient lists with current donors and streamlining the management of prospect and donor records.

Standardized and Improved Data Quality

MultiCare implemented a more streamlined approach to standardizing data, removing unwanted information, confirming data accuracy, and identifying existing constituents while still managing new prospect records for segmentation efforts.

Partnership and Process Optimization with Omatic

Omatic worked closely with the MultiCare team to set up their processes and ensure best practices were followed, creating a more efficient and scalable approach to managing Grateful Patient Program data.

By importing every piece of electronic data and maintaining accurate constituent profiles, MultiCare gained the ability to better segment and cultivate supporters, including grateful patients, leading to more timely outreach efforts.

Improved Reporting and Compliance Capabilities

The solution enabled MultiCare to meet requirements for reporting volunteer hours, satisfy hospital corporate compliance specifications, and identify VIP donors who were also volunteering at events.

Reduced Administrative Work and Saved More Than $15,000

MultiCare reduced data processing time from 32 hours per week to just 4 hours per week, eliminating the need for extra staff support during busy periods. These efficiencies resulted in savings of approximately $600 per week during event season and more than $15,000 in staff time savings during the first year alone.
