The Challenge

The YMCA of Pierce and Kitsap Counties (YMCA) works to promote youth development, healthy living, and social responsibility. With nine locations and several other facilities, they run a diverse range of programs, services, and initiatives that help youth to realize their potential, offer families ways to have fun together and help foster social responsibility. They partnered with MultiCare, which provides hospital, clinic, primary care, specialty, emergency and urgent care health care to improve the health and wellness of the community in Pierce and Kitsap Counties, with a focus on programs for women and children.

To run their programs and continue to provide the valuable services they offer to the community, the YMCA depends on the generosity of volunteers and the financial gifts of their donors.

The organization’s operations are complex, with over 100,000 members, not all of which give donations, and over 500 staff.  The organization was spending too much time using the Raiser’s Edge NXT native import tool, and wasn’t able to get all of their necessary data into Raiser’s Edge NXT from their disparate databases.

The Solution

Sarah Homan, Administrative Assistant at the YMCA of Pierce and Kitsap Counties, lead the initiative to implement Omatic’s tools into the organization.

The solutions enabled them to streamline gift entry processes, combine data from disparate systems to gain a more holistic view of their supporters, and ultimately create better experiences for their members & supporters.

Now they know exactly which of their 100,000 members are also donors. And they can cultivate those that aren’t yet donors appropriately. And they can manage all of their member data within Raiser’s Edge NXT without inflating their record counts.

The team is saving time on all the processes they’re using ImportOmatic for — the import process, annual campaign creation by using Omatic’s templates, and payroll. This time savings directly translates to staff cost savings, allowing the team to devote more resources to their cause.

Because the import process is so much faster, Sarah is able to import gifts monthly. And she no longer has to worry about duplicate gifts created by the native import tool. They are able to replicate the data processes that they have used previously on future annual campaigns, which saves time and ensures high quality, clean data in Raiser’s Edge NXT.

List Management allows them to have all the members in Raiser’s Edge NXT, and create appeals to the members based on their own criteria. The team also uses ImportOmatic to run staff payroll, freeing up time spent on the clunky Excel process they were using previously.

Sarah says that the training process was thorough, making her feel comfortable using the software. She offers this advice to other organizations who are considering Omatic: “Chat with other like organizations to see how they’ve benefited.
