Organization Background

Since 1817, InFaith has focused on serving individuals and communities through faith-based initiatives throughout the country. Missionaries with the organization serve and support a wide range of programs, addressing critical needs such as education, health, and community development. With a commitment to faith-driven philanthropy, InFaith strives to improve lives and uplift communities across the nation.

Challenge

InFaith works with over 180 missionaries, each raising money for specialized and general support funds. The organization implemented Salesforce NPSP to manage donations and record keeping for all incoming gifts, but they still experienced challenges with sending daily deposit data from their CRM into Financial Edge NXT. Factors contributing to these challenges included:

  • Manual, Time-Consuming Processes to Standardize Data for Journal Entries: Before using Omatic, InFaith had to manually export reports from Salesforce NPSP and import them into Financial Edge NXT. This process took 1-2 hours each week to manipulate the export into the required journal format with credit and debit entries and cash accounts. Managing entries for 50-60 different funds daily, staff often spent an entire day catching up and posting journals.
  • Risk of Human Error When Manipulating Files: InFaith frequently needed to reconcile Salesforce reports with bank deposits or the credit card transactions that had processed for that day. The organization meticulously ensured that all headings and data were correct, since small errors in the Excel spreadsheet could allocate funds to the wrong missionary accounts. This process required highly trained staff and a strong attention to detail, which was challenging given their limited time and resources.

Solution

InFaith sought a solution that could both automate these tedious processes and ensure data accuracy in journal entries, leading them to adopt Omatic Cloud’s Post to GL solution for posting financial data from Salesforce NPSP to Financial Edge NXT:

  • A Perfect Balance of Automation and Control: Omatic automatically processes financial data in the background with no disruption to InFaith’s workflow, enabling their Chief Financial Officer to focus on other important tasks for the organization. When the process is done, he can quickly verify the data’s accuracy before posting to Financial Edge NXT. If any errors do arise, InFaith is immediately alerted and given the opportunity to correct on either the Salesforce or Financial Edge NXT side.
  • Consistent and Correct Data—Every Time: Based on criteria and rules set by the organization, Omatic automatically maps and transforms data into the exact format needed to post into Financial Edge NXT. This gave InFaith confidence that funds were allocated correctly and that reports were consistently accurate for missionaries, donors, and auditors.

Results

  • Faster, Accurate Financial Posting: By using Omatic’s Post to GL solution just once or twice a week, InFaith can update their cash more frequently and see a real-time picture of their income.
  • Greater Trust from Missionaries and Donors: Missionaries have long trusted InFaith to manage and track donations correctly, so they can focus on doing the work that matters most to them and their communities. Donors have trusted InFaith to allocate funds properly and provide clear reports on how their money is used. By eliminating the risk of human error, Omatic enables InFaith to enhance their commitment to accuracy and transparency even further.
  • $19,000 Saved on Staff Resources: After a part-time staff member had retired, InFaith was able to continue managing the high volume of donations and financial posting without needing to refill that role.

InFaith has been very pleased with the results they’ve seen with Omatic to date, “I consistently get a journal entry that reconciles exactly to the deposit that goes into our bank account. I have the confidence that the journal that Omatic produces is going to be correct. They’re right every time, and that obviously inspires confidence,” said Dan Sheldon.
